ClinicVoice / Practice guide
How much does a dental answering service cost in the UK?
ClinicVoice’s Practice Pilot costs £395 per month plus £950 setup (£474 and £1,140 including 20% VAT where applicable). Use our worked examples to compare usage, additional charges and payment commitments.
Start with the calls you need covered
A quote for occasional overflow calls is not the same purchase as a service handling every incoming call. First decide whether you need busy-line, unanswered-call or out-of-hours cover, then estimate the calls that would actually reach the answering service.
Ask which billing unit the supplier uses: calls, minutes, users or locations. If one quote is per call and another is per minute, use your own call records to compare them. For illustration, 100 calls averaging four minutes would use 400 minutes. Four minutes is an assumption here, not a dental-industry average.
Compare the work as well as the price. Answering approved FAQs and taking a callback request is different from confirming an appointment in a live diary. For ClinicVoice, direct booking requires a compatible, agreed integration; without it, reception follows up and confirms the appointment.
What reception receives after a call
In an agreed AI dental receptionist setup, Alice asks for the caller’s name, callback number, reason for calling and preferred callback time. Those caller-provided details and the call time form an enquiry record for reception.
A configured and tested email handover can send a short summary to the practice’s nominated reception inbox. Reception reviews it, calls the person back and confirms any appointment. Optional SMS alerts, recipients and associated charges are agreed separately during setup; the public voice demo does not send notifications.
ClinicVoice subscription and setup fees
Prices checked against our published plans on 19 October 2026. These are ClinicVoice examples, not a survey of UK suppliers or a market-average price. Amounts exclude VAT unless stated. The UK standard VAT rate is 20%; the inclusive figures below illustrate that rate where applicable. Your written quote confirms the applicable tax treatment and any additional charges.
| Cost item | Practice Pilot | Full Clinic Pro |
|---|---|---|
| Monthly fee | £395£474 incl. 20% VAT | £750£900 incl. 20% VAT |
| Included minutes each month | 400 | 1,200 |
| One-off setup | £950£1,140 incl. 20% VAT | £1,500£1,800 incl. 20% VAT |
| Setup + first month, before extras | £1,345£1,614 incl. 20% VAT | £2,250£2,700 incl. 20% VAT |
Both plans list additional usage at £0.35 per minute (£0.42 including 20% VAT). Included minutes reset monthly and do not roll over. SMS, carrier, transfer and integration charges are agreed separately; a missing charge in this table does not mean that item is free.
The setup-plus-first-month total is not all payable on the day you enquire. Pilot setup is £475 to start and £475 after launch acceptance; Pro setup is £750 at each stage, excluding VAT. The first subscription payment is due at go-live. See the full payment stages and setup and acceptance process.
Worked examples at three monthly usage levels
These calculations assume monthly billing, the stated allowance and whole-minute totals. They exclude setup, carrier charges, SMS, transfers and extra integration work. They are budgeting examples, not actual customer bills or a forecast of your practice’s call volume. Confirm billable-time definitions and rounding in the written quote.
| Minutes used | Practice Pilot | Full Clinic Pro |
|---|---|---|
| 400 | £395£474 incl. 20% VAT | £750£900 incl. 20% VAT |
| 800 | £535£642 incl. 20% VAT | £750£900 incl. 20% VAT |
| 1,400 | £745£894 incl. 20% VAT | £820£984 incl. 20% VAT |
How the 800-minute Pilot example works
£395 subscription + (800 − 400 included minutes) × £0.35 = £535 for the month, excluding VAT.
If this were the first month, adding £950 setup gives £1,485 before VAT and other charges, or £1,782 including 20% VAT. Setup is still paid in the two agreed stages.
At these volumes, Pilot has the lower usage-related total. Pro needs to be assessed against the additional routing, departmental configuration and support in its agreed scope, rather than assuming a larger minute allowance makes it cheaper. Review the current plan scope alongside your requirements.
When assessing value, include your team’s callback and administration time. A treatment’s selling price is not profit, and an answered enquiry is not a guaranteed patient or booking.
Compare annual and monthly commitments
ClinicVoice also lists annual subscriptions: £3,950 for Pilot (£4,740 including 20% VAT) and £7,500 for Pro (£9,000 including 20% VAT). Each buys twelve months of service for the equivalent of ten monthly subscription payments.
Pilot’s monthly equivalent is approximately £329.17 and Pro’s is £625, excluding VAT. These are comparisons, not monthly instalments: the annual subscription is paid upfront at go-live.
Adding setup, the first-year base cost is £4,900 for Pilot (£5,880 including 20% VAT) or £9,000 for Pro (£10,800 including 20% VAT), before extra usage and separately agreed charges. The 400 or 1,200 included minutes still reset each month; they are not a yearly pool.
Consider cash flow, expected usage and the commitment together. The service terms and refund policy explain cancellation and refunds. The first-time customer’s 14-day subscription guarantee starts at go-live; completed and accepted setup and agreed extra usage are excluded. It is not a free trial.
Questions to put in your written quote
- What is chargeable? Ask when billing starts and stops, how time is rounded, and how short calls, wrong numbers and calls beyond the allowance are treated.
- Which call routes are included? Confirm busy, unanswered and closed-hours settings, your telephone provider’s forwarding charges and how to restore normal reception.
- What reaches reception? Specify the agreed email or SMS handover, recipients, recurring message costs and acceptance tests. A screen in a demonstration does not verify notification delivery.
- Does it use the appointment diary? Name your software and booking rules. Check compatibility, setup work, ongoing fees and who confirms appointments. Unverified integration costs should remain to be quoted.
- What support and fallback are included? Agree information updates, support availability, escalation and the process if a divert or handover fails.
- What is the total commitment? Compare setup, subscription, usage, applicable VAT, minimum term, renewal and cancellation on the same basis. Ask for mandatory charges to be identified before you accept.
The ASA/CAP pricing guidance explains why price descriptions, commitments and additional charges need to be clear. For your purchase, keep the agreed scope and total costs together in the written proposal.
Sources, scope and your next step
This guide was prepared by Aleo Li at ClinicVoice, a supplier of AI telephone reception. It uses our own published fees and arithmetic examples. It does not rank providers, establish a UK market average or claim that a service will pay for itself.
